Understanding Functional Capacity Assessments

Understanding Functional Capacity Assessments

When people first hear the term Functional Capacity Assessment (FCA), it can sound clinical or overwhelming. At Firm Foundation OT, we see it differently. A Functional Capacity Assessment is a structured way of understanding a person’s everyday life, strengths, challenges, and support needs.

An FCA looks at how someone is managing the activities that shape daily living — including self-care, home routines, learning, work tasks, social participation, and community access. Rather than focusing only on diagnosis, it explores real-world functioning — what is working well, where things feel difficult, and what supports may improve independence and meaningful participation.

For individuals and families navigating the NDIS, clarity is essential. An FCA provides clear, evidence-based information about functional needs and can support funding applications, plan reviews, or requests for additional supports. It translates lived experience into language that planners and funding bodies understand, while still taking a strengths-based approach to therapy and intervention.

At Firm Foundation OT, our FCA process is collaborative, transparent, and person-centred. Below is a simple overview of what you can expect:

  1. Initial Booking and Preparation – We begin with a conversation to understand your needs and ensure the assessment process is clearly explained from the outset.

  2. Initial Interview – We meet with the participant and, where appropriate, a key support person. This conversation helps us understand daily routines, strengths, goals, and current challenges.

  3. Standardised Assessment – We use structured, evidence-based tools to gather measurable information. These tools provide objective data to support the recommendations in the final report.

  4. Functional Observation – We observe the participant in a real-life context to understand how everyday tasks are managed and what supports may be helpful.

  5. Report Writing and Review – A comprehensive report is prepared outlining strengths, functional impacts, and clear recommendations. Feedback is welcomed to ensure accuracy.

  6. Final Report and Next Steps – Once finalised, the report can be shared with relevant stakeholders and submitted to the NDIS if required. It becomes a roadmap for support planning and meaningful progress.

When you engage Firm Foundation OT for a Functional Capacity Assessment, you can expect a process that is respectful, thorough, and grounded in genuine understanding. We prioritise listening. We ensure recommendations are practical and clearly linked to functional impact. Most importantly, we ensure the individual behind the report is always seen and heard.

An FCA is not simply paperwork. It is a foundation for forward movement — bringing clarity, advocacy, and direction so that the right supports can be put in place.

If you would like to explore whether a Functional Capacity Assessment may be helpful for you or your family, our team is here to guide you through the next steps.
